The Technical Program
In 2023, the Optica Laser Congress and Exhibition will be held in an in-person/asynchronous format. After selecting a Presentation Type within the submission form, a pop-up box for Presentation Method will appear. You will be asked to select your preferred presentation method from two options:
- In Person
Attend in person and present at the meeting venue.
- Asynchronous
For presenters unable to attend in person, this option offers a pre-recorded video presentation that will be published online for on-demand viewing only. Asynchronous presentations do not include the opportunity for live presentation and/or participation in Q&A.
If you select in person, it is expected that you will attend the meeting in person to present. Otherwise, your presentation may be withdrawn.
By offering a flexible meeting format, if your paper is accepted for presentation, we guarantee that you will be able to present it before its intended audience.
The Professional Value of Presenting
Presenting at an Optica Meeting is a mark of professional excellence. All paper submissions are carefully peer-reviewed to ensure a high-quality program on emerging topics. As a presenter, you will participate in a strong technical program that includes other distinguished experts. Your audience will be comprised of colleagues, industry leaders and potential collaborators.
In addition, accepted and presented papers are published on the Society’s publishing platform, which extends the impact of your work long after the meeting ends. Optica Publishing Group further supports the visibility of your paper by indexing in Ei Compendex, Scopus and Google Scholar.
Requirements
35-word Abstract: Your abstract should be a brief summary of your paper topic. If your paper is accepted, your 35-word abstract will be included in the Conference Program. Note that the same abstract should be included in the 2-page summary as highlighted in the style guide.
2-page Summary: All contributed authors are required to submit a final summary of their work for publication in the Technical Digest, via the Optica Publishing Group platform. Style guides are provided in a variety of different formats to support authors’ needs. All PDF submissions MUST contain the following items in order to be published:
- Complete title
- Complete listing of all authors and their affiliations
- Self-contained abstract, limited to 35-words (indexers such as Google Scholar will not index papers that do not contain abstracts)
- Appropriate copyright statement following the abstract. By default, the copyright statement will appear as 2023 The Author(s). If needed, the default statement can be suppressed by use of the {abstract*} environment.
- Permission and attribution for any trademarked or copyright images. Note that images of people or images owned or trademarked by other entities (including, for example, well-known logos or cartoon characters) will require official written permission.
IMPORTANT! Please embed all fonts; use standard fonts when possible. Problems may occur if non-English font packages (for example, Japanese, Korean or Chinese fonts, etc.) are used in the body of your paper summary, as well as in all figures and tables. Characters in these fonts cannot be seen by reviewers. In the past, we have had particular trouble with MS-PGothic, MS -Gothic and MS-Mincho.
***Proof your work before submitting. We DO NOT ACCEPT CHANGES OR REVISIONS AFTER THE SUBMISSION DEADLINE .***
Category Selection: Please review the topic categories, and select the area that is appropriate for your work. In addition, you can request that your paper be considered for one of the symposia.
Copyright Agreement: The submission form incorporates an electronic copyright transfer agreement as part of your submission. No additional mailed documentation is required.
Adherence to the instructions for preparation of the abstract and summary is imperative. Failure to complete any of the preceding requirements may result in the rejection of a paper. NO CHANGES OR REVISIONS WILL BE ALLOWED AFTER THE SUBMISSION DEADLINE. Emailed or faxed submissions will not be accommodated.
A complete submission must be submitted via the online submission system in adherence with the style guide and by the published deadline. Do NOT email, fax or mail your paper!
Registration and submission for Technical Sessions is open to all members of the scientific and technical community. It is incumbent on the authors to obtain appropriate approval to present their work to this international forum.
Presentation Format
Presentation Preference: The presentation options are "Oral Only", "Poster Only" or "Oral or Poster Acceptable". The committee has the final say on presentation types, though every effort is made to honor authors' choices.
Selection of "Oral Only" indicates the author is not willing to present a poster. "Poster Only" indicates the author is not willing to present an oral presentation. With selection of "Oral Only" or "Poster Only", the paper may be rejected if the committee determines the paper will not fit in the chosen session type. With selection of "Oral or Poster Acceptable", the committee will take the author’s preference into consideration, but the paper may be scheduled as an oral talk or a poster presentation at the discretion of the committee.
Style Guide
Style guides are provided in a variety of different formats to support authors’ needs. Style guides are the same for all Optica-managed meetings. Be sure to confirm page count and paper size requirements for the meeting to which you are submitting.
Please make sure that your paper does not contain non-English font packages (for example, Japanese, Korean or Chinese fonts, etc.) in the body of your paper summary, as well as in all figures and tables. Characters in these fonts cannot be seen by reviewers. In the past, we have had particular trouble with MS-PGothic, MS-Gothic and MS-Mincho.
If you have any questions regarding the paper preparation process, please contact the Optica Technical Papers staff at cstech@optica.org.
