Registration Fee
US$500 (due at time of registration following acceptance). Registration includes all meals and accommodations for the duration of the school and all meeting publications. Fee is due at the time of registration and any registration grants will be applied at the time of payment. Thanks to the support of Optica Foundation donors, travel including flight, bus, and ferry will be provided to each accepted student and is included in the registration fee. 

Visas
Attendees are responsible for obtaining their own visa should it be required to travel to Sweden. We advise that students get in touch with their local embassy to confirm the visa requirements and book a visa interview as soon as possible is needed.

Travel to the island of Hven 10 July

  1. Once the majority of participants have had their flights booked by Safe Harbors, a couple of private buses will be arranged to transfer attendees from Copenhagen Airport Kastrup (Denmark) to the Ventrafiken ferry in Landskrona (Sweden). We cannot guarantee that the private buses will be available for all participants and some may need to reach the island via option 2 as described below.
    1. While crossing the border into Sweden, all attendees must have passports and Schengen visa documentation on them; the bus will be stopped and all documentation will be checked by the Swedish border patrol.
    2. Ferry tickets will be arranged by the Optica Foundation and the Spirit of Hven.
    3. After taking the ferry over to the island of Hven and landing at Backviken, another bus will take attendees to the Spirit of Hven
    4. All of this transportation as stated above will be arranged by the Optica Foundation and the Spirit of Hven at no cost to attendees. All attendees should have a credit/debit card available in case there are any issues.

 

  1. Depending on your flight arrival and departure time or your schedule, the private buses to reach the island may not be available or convenient. In this case, you will need to take the train to reach the island.
    1. Download the Skanetrafiken app onto your device.
    2. From the Copenhagen Airport, purchase a “Single Ticket” for 1 “Adult” without add-ons on the Øresundståg towards Sweden to Landskrona Station. The trip should take about 50-60 minutes, and the cost is 183 SEK (about US$20/ 20 Euro). In the app enter: From: CPH Airport Kastrup, Denmark To: Landskrona Station.
    3. As you cross the border into Sweden, border patrol will inspect your passport and any relevant Schengen visa documentation. If you do not have the phone application, a ticket may be purchased in the airport.
    4. From Landskrona Station, take a bus from Landskrona Station to Landskrona Skeppsbron. The trip is about 10 minutes, and the “Single Ticket” for 1 “Adult” with no add-ons is 28 SEK about US$3/ 3 Euro) *ticket cost is If you do not have the phone application, a ticket may be purchased at the convenience store at Landskrona Station.
    5. At Landskrona Skeppsbron, proceed to the Ventrafiken station and the ferry. The Optica Foundation and Spirit of Hven will have arranged a ferry ticket for you, which will be sent by email in advance.
    6. After taking the ferry over to the island of Hven and landing at Backviken, another bus will take attendees to the island of Hven. Assuming the Optica Foundation and Spirit of Hven booked your ferry ticket, this bus transfer will be included as well. 

Money/cash/credit cards

Cash in Denmark currency, Swedish currency, Euros, US dollars of any denominations is NOT recommended. On the island itself, ONLY electronic credit/debit card payments are accepted. You must have a credit/debit card to participate in the event. Any incidentals such as charges for the minibar and extra beverages at the hotel, purchases at the nearby grocery shop and any other business require payment by credit or debit card. The Optica Foundation will not cover ancillary charges and purchases made by attendees.

What to wear

Leave your suits, ties, high heels, crown jewels, etc. at home. It could rain occasionally. We recommend keeping a small umbrella with you and wearing shoes that are OK to get a little wet. Prepare for a variety of temperatures both indoors and outdoors. Although lectures are indoors, other team-building activities may take place outside. Days will be warm and balmy; evenings will be cool and breezy. A pair or two of workout clothing/shoes is recommended for participating in jogs, yoga and other games.
